Our agency has a background in filmmaking and content production for big tech, but our work has flourished to span creative consultancy, strategy, brand and campaign work for a wide range of large and scale-up tech companies across AI, robotics, biotech and quantum computing.
The Role:
This role is at the heart of Across the Pond, the connective tissue between our Production, Finance, and Operations teams. You will be the go-to person for keeping projects on track, the team well-supported, and our working environment running smoothly, whether that is a physical office or a co-working space.
We are office-based until September, after which we transition to a remote-first model, coming together 1–2 days a week in central London. You will play a key role in making that transition work well and owning how we show up as a team day-to-day.
You will work closely with the Head of Production, Accounts, and department heads to make sure everything is correctly set up, accurately tracked, and moving forward. You will bring energy, initiative, and a genuine passion for getting things done.
Your role at Across the Pond:
Production & Finance
Partner with the Head of Production to set projects up in Synergist, entering quotes, estimates, and working budgets
Manage the full financial lifecycle: raising purchase orders, issuing client invoices, updating billing plans, reconciling expenses and petty cash
Assist Producers and Production Managers in scoping realistic prices and timelines for upcoming work
Keep project management platforms current and alert the Finance team and Head of Production to any changes affecting revenue or profitability
Scheduling & Logistics
Maintain production calendars and feed into the creation of call sheets
Manage logistics including visas, location permits, and carnets, coordinating with global colleagues as needed
Book global travel and accommodation for the team
Proactively scout new crew with a focus on diverse backgrounds and strong environmental credentials
Guide freelancers on ATP workflows to ensure smooth onboarding
Operations & Culture
Oversee the current London office through to its close in September 2026, managing the wind-down, assets, and any related logistics
Support the transition to remote working: set up and manage our co-working space arrangements in central London, ensuring 1–2 days per week run smoothly for the team
Be the first point of contact for IT issues, liaising with our external IT provider
Ensure all staff are trained and compliant on data practices
Assist HR with onboarding and offboarding: inductions, exit interviews, and asset management
Research, organise, and manage staff and client events, parties, team bookings, peer recognition
Complete expense reporting and credit card reconciliation
Communications & Admin
Answer the main ATP phone and email accounts, screening and directing queries
Provide ad hoc support to staff, including diary management
Act as a client-facing representative when needed via email, video, or in person alongside a Producer or Head of Production

Experience & Skills
Some experience in a coordinator or office support role, agency, production, or a similarly fast-paced environment a bonus
Strong organisational and communication skills, written and verbal
Comfortable picking up new software quickly. GSuite is essential; familiarity with HiBob, Expensify, and Synergist a plus
Exposure to financial admin (invoices, purchase orders, expense reconciliation) helpful but not required
Confident juggling multiple tasks and shifting priorities
